Overview
Sharemundo is an enterprise-level project management solution created to rival tools like Monday, Asana, Wrike, and Trello. The platform is modular and tailored for multiple business sizes—from energy consultants to small businesses. I contributed to designing the user experience for key modules and the overall system architecture from a usability perspective.
Problem
Sharemundo aimed to consolidate key functionalities from top project management platforms into one ecosystem—without overwhelming users. The challenge was to design a flexible yet intuitive UI that supports task management, time tracking, invoicing, HR, reporting, and more, across company and project levels.
My Role
- UI/UX Designer
- Responsible for visual and interaction design for core modules
- Created layouts, dashboard structures, and reusable components
- Worked closely with product leads and developers to ensure consistency across multiple solution tiers
Process
Discovery
We started by analyzing competitor platforms (Trello, Monday, Asana, Wrike) to understand common patterns and user expectations. I mapped out the platform structure for all three Sharemundo variants (Basic, Small Company, Energy Consultant).
Architecture & Navigation
To avoid overwhelming users, I helped structure the left navigation into Company-level and Project-level sections. This kept related functions grouped and allowed users to switch contexts easily.
Key UI Design Focus Areas
- Company Dashboard: Designed a widget-based (pin) layout allowing users to customize their view—drag, resize, and personalize content blocks.
- Project Dashboard: Introduced dynamic views including milestones, action items, documents, and progress graphs—all modular.
- Action Item Management: Created a flexible Kanban/card interface with metadata for budget, responsible person, and project phase.
- Invoice & Time Booking: Designed clean data-entry screens with automatic calculations and printing layout for PDF exports.
- Calendar Integration: Simplified multi-source scheduling with filterable views and potential Outlook/M365 sync.
- HR Module: Included staff availability, productivity tracking, and leave requests in a calendar-based UI.
Usability Focus
- Unified style across modules
- Reusable form fields and layout logic
- Simplified interactions for complex processes (e.g., linking documents, milestones, contacts)
Final Design
I helped ship UI specifications for over 20+ modules, including:
- Company Dashboard
- Contact Management
- Offer Management
- Invoicing
- Time & Expense Tracking
- Human Resource Planning
- Portfolio & Analytics
- Action Items (with calendar, roadmap, and list views)
Outcomes
- Created scalable design logic usable across all product tiers
- Enhanced productivity through intuitive dashboards and modular UI
- Established visual consistency across dozens of modules
- Helped align the product visually with competitors while offering broader features
Learnings
- Scalability matters—designing for multiple company types pushed me to think in systems
- Customizability is key—letting users adjust dashboards improved usability
- Simple visual language helps users navigate complex tools with less friction
